Privacy Policy

PSM SHIPS LLC ("PSM Ships", "we") repairs and supports vessels, carries cargo by sea and river, rents out boats, provides office services and operates as a crewing and staffing agency. Seafarers entrust us with documents that are essential to their careers, including medical certificates. This policy explains how we protect that data under the Law of Ukraine "On Personal Data Protection", the Maritime Labour Convention, 2006 (MLC), and the GDPR.

2. Seafarers
We process your CV, rank, sea service record, certificates of competency and proficiency, passport and seaman's book details, visa status, contact details and next of kin for emergencies. To check fitness for duty we process medical certificates, which contain health information. Health data is accessed only by staff responsible for document verification, and we pass to shipowners only the information required to confirm fitness, not detailed medical records.
3. Sharing with shipowners abroad
Most of our placements are with shipowners and managers outside Ukraine. We send your profile to a shipowner only for a specific vacancy you have agreed to be considered for. Transfers are limited to what is needed for selection and employment, and the shipowner becomes responsible for your data as your employer.
4. No fees and fair treatment
In accordance with the MLC, we do not charge seafarers for placement, and we do not keep blacklists of seafarers. Complaints from seafarers about our services are recorded and answered.
5. Temporary staff
Seafarers and shore staff we employ directly for temporary assignments: we process employment, payroll and working time data as required by labour law.
6. Shipowners, cargo owners and rental clients
We process business contacts, contracts, shipping documents and, for boat rental, details of operators and their qualifications.
7. Office services clients
When we handle correspondence and documents for clients, we act on their instructions and keep their information confidential.
8. Purposes and grounds
Recruitment with your consent, performance of contracts, legal obligations (labour, maritime and tax law), and legitimate interests (verifying certificates to ensure maritime safety).
9. Recipients
Shipowners and ship managers you agreed to, maritime administrations for certificate verification, travel agents for crew travel, medical centres you attend, insurers, tax authorities. We do not sell personal data.
10. Retention
- Seafarer profiles: 3 years after your last contract or contact, or until you ask us to delete them.
- Copies of medical certificates: until the certificate expires.
- Placement records: as required by maritime labour rules.
- Freight and rental records: as required by law.
11. Your rights
You may access, correct and delete your data (subject to legal retention), restrict or object to processing, obtain a portable copy and withdraw consent, including asking us to stop presenting your profile. We reply within 30 days. Complaints may be addressed to the Ukrainian Parliament Commissioner for Human Rights or an EU supervisory authority.
